The Missed-Call Text-Back Blueprint

When you miss a call, the caller gets a text within a minute, and you get the lead.

People who call a service business and get voicemail often call the next company. This is the logic for an automation that texts them back right away, creates the lead, and alerts you, laid out so you or whoever builds your automations can implement it in the tool you already use.

What's inside

  • The exact trigger, conditions and actions
  • Message copy that sounds like a person
  • The ways this usually breaks, and how to avoid them

What it does

When a call to your business line goes unanswered, the system waits about a minute, sends a short text to the caller asking how you can help, records the lead, and notifies you. If they reply, the automation steps aside and a person takes over.

The logic

  1. Trigger: an inbound call ends as missed, unanswered, or sent to voicemail.
  2. Check: is this number already in an open conversation? If yes, stop. Don't text someone you're already talking to.
  3. Check: has this number already received this text in the last 24 hours? If yes, stop.
  4. Check: is it a known vendor or your own team? If yes, stop.
  5. Wait 60 to 90 seconds, so it feels human rather than instant.
  6. Action: send the text (below). If it's outside business hours, use the after-hours version.
  7. Action: create or update the lead record with the number, time and source set to "phone".
  8. Action: notify the owner or office with the number and the time.
  9. Listen: if the caller replies, mark the lead as engaged and stop all automated messages to that number.

The messages

Automated texts to customers require their permission and a working opt-out. Confirm your consent process before turning any of this on.

Build it in

Test it before it touches a customer

  • Run it with your own phone number and email first, end to end.
  • Turn on a test mode, or point messages at yourself, until the logic behaves.
  • Call your line from a number that isn't yours, and let it ring out, then answer it, and confirm only the unanswered call triggers a text.
  • Watch the first week of real runs by hand, then spot-check weekly.

Common ways it breaks

  • Texts firing at customers you're already speaking to, because the open-conversation check was skipped.
  • Texts going out repeatedly to the same caller, because the 24-hour check was skipped.
  • Calls forwarded to a cell phone counting as "missed" when someone actually answered.
  • Registration or carrier filtering blocking business texts. Confirm your texting setup is registered before launch.
