Chatting helps when you remember to do it. The bigger gain is a job that gets done without you remembering: the report that arrives on Monday, the first reply that goes out in a minute. This stage shows you how to pick those jobs, how much to trust the AI with, and where to start.

Pick the right jobs
A good job to hand off
- It happens at least weekly.
- The steps are the same each time.
- You can say what 'done right' looks like.
- A mistake is cheap to catch.
- The information it needs is already in a file or your inbox.
A poor one, for now
- It depends on judging a relationship.
- A mistake would be costly and no one checks.
- The process changes every time.
Three levels of trust
Start at the first. Move up only when the drafts have earned it.
| Level | What happens | Good for |
|---|---|---|
| Draft | The AI prepares it and you send it | Anything a customer will read, at the start |
| Approve | The AI prepares it and you approve with one click | Messages you've read enough of to trust the pattern |
| Automatic | It goes out by itself | Internal reports, and low-risk messages after a long, clean record |
Track how often you change a draft. If you rarely edit them, you can move up. If you edit most of them, fix the instructions instead.
Where to start
How an AI step fits in
| Part | What it does | Example |
|---|---|---|
| Trigger | Something happens | A form is submitted |
| Collect | Gathers what the AI needs | Reads the row, the customer name and the message |
| AI step | Writes or sorts using your brief | Drafts a short, warm reply |
| Check | Catches problems before they go out | Won't send if the output isn't what was expected |
| Deliver | Hands it to you or the customer | A draft in your inbox |
Measure it
- Minutes it saves you each week, counted honestly.
- How often you edit a draft.
- Mistakes it made, and whether you caught them.
- Whether the thing it was for improved: faster replies, fewer overdue invoices.
